Records Management

Records management at UW-Parkside: What do I keep? What do I toss? What goes to the archives?

Exemptions

In the effort to comply with new Web Content Accessibility requirements, you may choose to archive non-current web content. For archived web content to be considered exempt from meeting WCAG 2.1, Level AA, it must meet all four of the following requirements.

  1. The content was created before the date the state or local government must comply with this rule, or reproduces paper documents or the contents of other physical media (audiotapes, film negatives, and CD-ROMs for example) that were created before the government must comply with this rule, AND
  2. The content is kept only for reference, research, or recordkeeping, AND
  3. The content is kept in a special area for archived content, AND
  4. The content has not been changed since it was archived.

Other exemptions may be found here.

Deleting Web Content and Electronic Documents

You may wish to delete content and documents that are outdated or unnecessary, but many of these are public records that are subject to public records laws and records retention schedules.

  • If you’re unsure how long a certain record must be kept, identify it using the searchable spreadsheet of all records schedules active at UW Parkside here. (Full records schedules are available here.)
  • Or contact Rebecca Robbennolt, Archivist and Records Manager, if you need help.

Transferring Records to the Archives

If records are past their minimum retention date and are due to be transferred to the UWP Archives, OR you feel that the records have historical significance, please contact Rebecca Robbennolt, Archivist and Records Manager, to initiate a transfer.
